Our Process

How We Work With a Dental Practice

A clear sequence from first conversation to ongoing reporting, with no surprises about scope, ownership, clinical review, or what you will see each month.

Google Search & Maps · AI Overviews & AI Mode · Gemini · ChatGPT Search · Perplexity · Copilot

Dental-only agency · Austin office, by appointment · You own every account · No guaranteed rankings or citations, only documented results

From a free audit to a written proposal

It starts with the free audit: a review of your website, Google Business Profile, local visibility, inquiry paths, and a documented AI visibility sample, delivered as a short written summary with up to three prioritized findings and the evidence behind each. We walk through it on a call or at our Austin office. If there is meaningful work to do, we propose a scope with the deliverables listed, the fee separated from any ad spend or redesign cost, the reporting you will receive, and the engagement terms in writing. You decide from there, and you keep the audit either way. The audit is deliberately limited. It does not include a full crawl of every page, a backlink analysis that requires a paid data source, or historical rank tracking; those come with an engagement when they are needed. What it does include is enough to tell you whether the problems are technical, factual, content-related, or in the inquiry path, and in what order they should be fixed. Every finding is marked observed, inferred, proposed, or not verified, so you know how much weight to put on it.

What the audit covers

  • Website content and technical access.
  • Google Business Profile accuracy and consistency.
  • Local visibility against nearby competitors.
  • A documented AI visibility sample with sources.
  • Calls, forms, and booking paths on mobile.

What the proposal states

  • Scope and monthly deliverables.
  • Fees, media spend, and any project costs, separately.
  • Reporting contents and definitions.
  • Ownership and access rules.
  • Subcontractors, conflicts, cancellation, renewal, and handoff.

What you can expect from us, and what we need from you

An engagement goes well when both sides know their part.

From us

  • Prompt communication and a named contact.
  • Deliverables listed and evidenced monthly.
  • Clinical content held for your review.
  • Honest reporting, including what did not work.

From you

  • Timely review of clinical content.
  • Access to the data needed for measurement.
  • A point of contact at the practice.
  • Decisions on budget and scope in writing.

Nothing clinical publishes without your approval, and nothing is spent without it either.

The engagement, step by step

Each step produces something you can see: a document, a corrected profile, a live page, a report. Nothing in the process is a black box, and nothing clinical or financial moves without your approval.

Baseline and access

We record current performance, confirm account ownership in your name, and establish a recoverable backup before touching anything.

Fact register

Providers, locations, hours, services, insurance, and brand details verified with you so nothing published is wrong.

Page and question map

One owner page per treatment and office, prioritized by value and demand, with patient questions assigned to pages.

Implementation in batches

Technical fixes, profile corrections, content, structured data, and campaigns delivered in reviewed batches, on staging or drafts where possible.

Verification

Every change checked on the live site, on mobile, with forms and tracking tested using synthetic data.

Reporting and review

Monthly reporting with definitions from inquiry to treatment start where connected; quarterly priorities reset against results.

What a monthly report looks like

The same structure every month so you can compare.

  • Summary. What changed and what it produced, in a paragraph.
  • Inquiries. By source and treatment, qualified where tagged.
  • Consultations and starts. Where connected, with the connection stated.
  • Costs. Fees, media, and cost per stage.
  • Visibility. Search Console, Maps from several points, AI sample.
  • Work completed. The list with evidence.
  • Next month. What is planned and anything we need from you.
  • Limitations. What could not be measured and why.

No single score. A broken form or an unsupported claim is flagged regardless of any total.

What every engagement makes explicit about your practice

Practice → Each dentist and credentials → Each treatment → Each office → Insurance and access → Evidence and reviews → Patient questions answered → Call or book

Most of the work, whatever the service, is making this chain complete, consistent, and measurable.

Batches and what each one delivers

Work is sequenced so the foundation is fixed before anything is built on it.

Early batches

  • Backup, inventory, baseline, fact register.
  • Ownership and access corrected.
  • Technical blocks to indexing removed.
  • Profile corrected and verified.

Later batches

  • Core and specialty treatment pages.
  • Location pages and citations.
  • Structured data and internal links.
  • Campaigns, follow-up workflows, and the review routine.

How we report

With sources, dates, definitions, and limits, every month.

  • Inquiries by source, spam excluded.
  • Qualified inquiries, consultations, and treatment starts where your systems connect them.
  • Cost per stage with fees and media shown separately.
  • Visibility in search, Maps from several points, and the AI sample.
  • What changed, what we measured, what remains unavailable.

Where a stage is not connected, we say so rather than estimate it.

Questions practice owners ask about the process

Plain answers.

"How much of my time will this take?"

A short kickoff, clinical review of drafts as they arrive, and a monthly review. Most owners spend an hour or two a month.

"Who approves what goes live?"

You approve clinical content and budget; we handle routine implementation within the agreed scope.

"What if something breaks?"

We keep a recoverable backup, test every batch, and fix anything we caused at no charge.

"Can we pause or change scope?"

Scope changes are agreed in writing; pause and cancellation terms are in the agreement.

"Will you talk to our patients?"

No. We never contact patients, submit real patient data, or enroll anyone in messaging under website work.

"What do we get if we leave?"

Everything, because it was always yours, plus documentation and a clean handoff.

Our process: FAQs

What practice owners ask before they start.

1. Is there a long-term contract?

Engagement terms, including length, cancellation, and handoff, are stated in the written proposal. We do not make promises here that are not in the contract.

2. What happens if we leave?

Everything stays yours because it was always in your name. We provide documentation and a clean handoff.

3. Do you outsource the work?

The proposal names who does what. Any subcontractor is disclosed.

4. How quickly do things go live?

Technical and profile fixes in the first weeks; content as your clinical review returns it.

5. Do you use staging?

Where available, yes; otherwise drafts and backups, with nothing published unreviewed.

6. How do you handle clinical content?

Drafted from authoritative sources, labeled as drafts, and approved by your dentist before publication.

7. Can we see work in progress?

Yes, drafts and staging links are shared as batches are ready.

8. What if we disagree with a recommendation?

We explain the evidence and you decide. Your practice, your call.

9. How are ads budgets handled?

Media spend is paid by you to the platform in your account; our fee is separate and stated.

10. Do you report on things that did not work?

Yes. A test that made no difference is still information.

11. How do you protect patient data?

It never enters analytics or ads, and any client-patient workflow follows your approved privacy process.

12. What does it cost?

Scope depends on offices, competition, and the state of your site and profile. After the free audit we propose a fixed monthly scope with deliverables listed.
